Zoomark 2027 UK Pavilion Terms & Conditions

PIF World Ltd organises the UK Pavilion at Zoomark 2027 in association with the Pet Industry Federation. By submitting a UK Pavilion booking application, the Exhibitor confirms that it has read and accepts these Terms & Conditions.
Booking terms at a glance

1. Stand options and prices
Indicative turnkey UK Pavilion stand packages are available from:
- 9m² – from £3,600 + VAT
- 12m² – from £4,570 + VAT
- 16m² – from £5,850 + VAT
- 20m² – from £7,130 + VAT
- 24m² – from £8,420 + VAT
Prices are from and are subject to final stand specification, layout and confirmation by PIF World. Turnkey packages are expected to include exhibition space, modular stand construction, flooring, standard company branding/fascia, agreed furniture, lighting and power, together with the applicable standard Pavilion services. Additional furniture, graphics, display equipment, additional electrical requirements, freight and other optional services are not included unless specifically confirmed in writing.
Space-only options are also available within the UK Pavilion. Please contact PIF World for a quotation.
2. Premium stand positions
A £250 + VAT premium applies to selected premium stand positions, including corner or two-open-side stands and selected stands positioned around or immediately adjacent to the PIF World hub.
All premium positions are subject to availability and the final Pavilion layout. Selecting a preferred position on the booking form does not guarantee that position.
3. Booking and acceptance
Submission of the online booking form constitutes an application to participate and does not in itself confirm a stand.
A booking becomes confirmed when PIF World has accepted the application, confirmed the stand size and price, and received the required 50% deposit. Participation is also subject to approval by Zoomark/BolognaFiere. PIF World may decline an application where the proposed participant, products or stand use does not meet the requirements of the Exhibition.
4. Payment terms
A 50% deposit of the confirmed participation fee is payable following acceptance of the booking. The remaining 50% balance is due by 15 January 2027.
Bookings accepted after 15 January 2027 will be payable in full on acceptance unless otherwise agreed by PIF World in writing. All prices are quoted exclusive of VAT, which will be added where applicable. Optional items and additional services requested by the Exhibitor may be invoiced separately.
5. Stand allocation and Pavilion layout
PIF World will allocate stands taking account of booking order, requested stand size and configuration, Pavilion layout, available frontage and open sides, and operational requirements.
Requests for particular locations, neighbouring stands, open sides or hub positions are preferences only and cannot be guaranteed. PIF World and/or the Exhibition organiser may alter the Pavilion layout or relocate, reshape or reconfigure stand space where required for the proper organisation of the Exhibition.
6. Cancellation by the Exhibitor
All cancellations must be made in writing to PIF World.
Where written cancellation is received 90 days or more before the opening of Zoomark 2027, the Exhibitor will remain liable for 50% of the total participation fee.
Where written cancellation is received less than 90 days before the opening of Zoomark 2027, the Exhibitor will remain liable for 100% of the total participation fee.
Any bespoke graphics, optional furniture, specialist services or other third-party costs already ordered or committed on behalf of the Exhibitor will also be payable where those costs cannot reasonably be cancelled or recovered. Where PIF World is able to resell the cancelled stand space, PIF World may, at its discretion, reduce the cancellation charge after taking account of costs and liabilities already incurred.
7. Failure to pay
If payment is not received by the required deadline, PIF World may cancel the booking and reallocate the stand. Reallocation of the space does not automatically release the Exhibitor from any payment or cancellation liability already incurred.
8. Products, brands and represented companies
The Exhibitor must provide accurate details of the products and brands it proposes to exhibit. Another business, brand or represented company may not share or use the Exhibitor's stand without prior written approval from PIF World.
Any co-exhibitor or represented company must be declared in advance and may be subject to additional Zoomark registration or marketing charges. The Exhibitor may not transfer, assign, sublet or otherwise dispose of its stand or any part of it without prior written approval.
9. Exhibition requirements
All UK Pavilion exhibitors must comply with the Zoomark General Conditions of Participation, the Exhibition Technical Regulations, BolognaFiere venue and health and safety regulations, and reasonable instructions issued by PIF World in connection with the Pavilion.
The Exhibitor must provide information and documentation requested by PIF World or the Exhibition organiser by the deadlines notified. Any charge, penalty or additional cost arising directly from an Exhibitor's failure to comply with these requirements may be recharged to that Exhibitor.
10. Stand operation
The Exhibitor must ensure that its stand is appropriately presented and staffed during the official opening hours of Zoomark. The Exhibitor is responsible for the behaviour of its employees, representatives, contractors and guests. Activities must not interfere unreasonably with neighbouring exhibitors or the operation of the UK Pavilion.
11. Stand build, furniture and damage
The precise items included within each turnkey stand will be set out in the stand specification supplied by PIF World. Items outside the standard package, including additional furniture, showcases, display equipment, graphics, storage or electrical services, may be ordered at additional cost.
The Exhibitor is responsible for damage caused by it, its staff or its contractors to Pavilion structures, furniture, equipment or venue property. Any repair or replacement costs charged to PIF World as a result may be recharged to the Exhibitor.
12. Registration and Exhibition information
Exhibitors may be required to complete Zoomark/BolognaFiere registration and provide company, product, catalogue, badge and other information. Information must be supplied by the deadlines notified by PIF World.
PIF World cannot accept responsibility for the loss of catalogue listings, passes, promotional opportunities or other Exhibition services caused by late or incomplete information supplied by the Exhibitor.
13. Freight, travel and accommodation
Unless expressly confirmed otherwise, the participation fee does not include travel or accommodation, freight, customs or temporary importation, storage or handling, visas, bespoke stand requirements or other third-party services.
The Exhibitor is responsible for ensuring that products and materials are transported and imported in accordance with applicable Exhibition and customs requirements.
14. Insurance and liability
Exhibitors are responsible for ensuring that they hold appropriate insurance for their products, personnel, property, freight and business activities. Any insurance provided through the Exhibition does not remove the Exhibitor's responsibility to maintain appropriate cover for its own circumstances.
The Exhibitor is responsible for loss, damage or third-party claims arising from its own acts, omissions, products, employees, contractors or breach of these Terms. PIF World will not be liable for indirect or consequential loss, loss of profit, loss of sales or loss of business opportunity, except where liability cannot lawfully be excluded.
15. Changes to the Exhibition
Zoomark/BolognaFiere may change the date, duration, location, hall allocation or other arrangements relating to the Exhibition. Such a change does not automatically entitle an Exhibitor to cancel its booking.
Where the Exhibition is postponed or cancelled, PIF World's treatment of exhibitor payments will reflect the refunds, credits or other arrangements actually made available to PIF World by Zoomark/BolognaFiere and relevant Pavilion suppliers. PIF World will not be required to refund amounts which it is unable to recover from those parties.
16. Force majeure
PIF World will not be liable for failure or delay caused by events beyond its reasonable control. Where such circumstances prevent or materially affect the Exhibition or UK Pavilion, PIF World will use reasonable endeavours to pass on any refund, credit or alternative arrangement actually made available to it by the Exhibition organiser and relevant suppliers.
17. Photography and promotion
The Exhibitor permits PIF World to use its company name, logo and supplied promotional materials for the purposes of promoting the UK Pavilion and its participation in Zoomark. PIF World may photograph or film the Pavilion and participating stands for promotional, editorial and reporting purposes.
18. Data protection
PIF World may share relevant Exhibitor and contact information with Zoomark/BolognaFiere, Pavilion contractors and other suppliers where this is necessary to administer participation in the Exhibition. Personal information will be handled in accordance with applicable data protection law.
19. Governing law
The agreement between PIF World Ltd and the Exhibitor is governed by the laws of England and Wales, and the courts of England and Wales shall have jurisdiction. Exhibitors must nevertheless comply with the separate rules and regulations applying to Zoomark and the BolognaFiere exhibition venue.
