spoga dog 2027 UK Pavilion - Exhibitor Terms and Conditions

These Terms and Conditions apply to participation in the UK Pavilion at spoga dog 2027 organised by PIF World Ltd ("PIF World") in association with the Pet Industry Federation.
By submitting a booking application, the Exhibitor confirms that it has read and agrees to these Terms and Conditions.
1. Booking and acceptance
Submission of a booking form constitutes an application to participate in the spoga dog 2027 UK Pavilion and does not, by itself, guarantee a stand.
Bookings are subject to availability, acceptance by PIF World and the requirements of Koelnmesse, the event organiser.
A booking will be treated as confirmed once PIF World has accepted the application and issued written confirmation and/or an invoice for the initial payment.
PIF World reserves the right to decline an application where there is insufficient space, the proposed products are not appropriate for the event, or where participation would conflict with organiser requirements.
2. Stand package and allocation
PIF World's standard stand sizes are:
- 9m2 stand
- 15m2 stand
Other stand sizes may also be considered, subject to pavilion layout, availability and agreement with PIF World. Exhibitors requiring a different stand size should contact PIF World before booking so that requirements, availability and pricing can be discussed.
Any non-standard stand size will be subject to a separate quotation and written confirmation from PIF World.
The precise position, configuration and orientation of each stand will be determined by PIF World in consultation with the event organiser and stand contractor.
PIF World will take reasonable account of exhibitor requirements but cannot guarantee a particular location, aisle position, open side or neighbouring exhibitor.
The UK Pavilion layout may be amended where reasonably necessary to accommodate exhibitor numbers, venue requirements, stand sizes or instructions from Koelnmesse.
3. What is included
The stand package will include the items set out in the booking information or quotation supplied by PIF World.
- exhibition floor space;
- standard stand construction;
- UK Pavilion branding;
- exhibitor name signage;
- standard lighting;
- basic electrical provision;
- waste bin and routine stand cleaning;
- selected furniture package;
- mandatory organiser charges included within the quoted package; and
- PIF World pavilion coordination and exhibitor support.
Any services, equipment or furniture not expressly stated as included may incur an additional charge.
Where an exhibitor requests additional equipment or services, PIF World will confirm any additional cost before ordering where practicable.
4. Prices and VAT
All prices quoted by PIF World are exclusive of VAT unless expressly stated otherwise.
Where VAT is applicable, it will be added at the prevailing rate.
Prices are based on the information and organiser rates available when the booking is confirmed.
If the event organiser, venue or an essential third-party supplier introduces a new mandatory charge or materially increases an existing compulsory charge after confirmation, PIF World reserves the right to pass on the reasonable additional cost to the Exhibitor. PIF World will notify the Exhibitor as soon as reasonably practicable.
5. Payment
A 50% initial payment will be invoiced following acceptance of the Exhibitor's booking.
The remaining 50% balance is due no later than 15 December 2026.
A stand will not be regarded as fully secured until the initial payment has been received.
Where a booking is accepted after 15 December 2026, PIF World may require payment of the full amount at the time of confirmation.
Additional items ordered after the original booking may be invoiced separately.
All invoices must be paid by the due date shown.
PIF World reserves the right to suspend or cancel participation where amounts remain unpaid after the due date.
6. Cancellation by the Exhibitor
An Exhibitor wishing to cancel must notify PIF World in writing.
Because PIF World may incur non-refundable commitments to Koelnmesse, stand contractors and other suppliers on behalf of participating companies, cancellation charges may apply.
Unless PIF World agrees otherwise in writing:
Before PIF World has incurred non-refundable costs:
PIF World may refund payments received, less any costs already incurred in connection with the booking.
Once PIF World has committed expenditure or contracted space on behalf of the Exhibitor:
the Exhibitor will remain responsible for costs that PIF World is unable reasonably to recover or avoid.
After 15 December 2026:
the full participation fee may become payable where PIF World has committed the corresponding stand space and services and is unable to recover those costs.
PIF World will take reasonable steps to mitigate its losses, including attempting to reallocate cancelled space where practicable.
7. Changes to the event or pavilion
The Exhibitor acknowledges that spoga dog is organised by a third party and that matters including the event layout, halls, opening times, visitor access arrangements and organiser regulations are outside PIF World's direct control.
PIF World may make reasonable changes to the UK Pavilion arrangements where required by Koelnmesse, the venue, health and safety requirements, stand construction requirements, changes in exhibitor numbers or stand sizes, or other circumstances outside PIF World's reasonable control.
Such changes will not normally entitle the Exhibitor to cancel or receive a refund provided that PIF World is still able to provide substantially the exhibition participation purchased.
8. Event cancellation, postponement or material change
If the event is cancelled, postponed or materially altered by Koelnmesse or another party outside PIF World's control, PIF World will notify participating Exhibitors as soon as reasonably practicable.
Any refund or credit offered by PIF World will take account of:
- sums recoverable from the organiser or suppliers;
- costs already incurred by PIF World;
- work already undertaken in connection with the Exhibitor's participation; and
- any revised event arrangements offered.
PIF World cannot guarantee reimbursement of sums that it is unable to recover from third-party suppliers.
Where the event is postponed, bookings may, where reasonably practicable, be transferred to the revised dates.
9. Exhibitor responsibilities
The Exhibitor is responsible for ensuring that its products, promotional materials and activities comply with all applicable laws, regulations and event rules.
- obtaining any necessary product approvals, licences or documentation;
- ensuring products are suitable for exhibition and sale or promotion in the relevant market;
- arranging appropriate insurance;
- arranging freight, customs and transport unless specifically included in the package;
- travel and accommodation;
- staffing its stand during the event;
- observing venue and organiser health and safety requirements;
- complying with stand construction and display rules; and
- ensuring that its representatives behave professionally and comply with event regulations.
10. Event organiser rules
Participation in the UK Pavilion is also subject to the applicable rules, regulations and technical requirements of Koelnmesse and the venue.
Where organiser requirements conflict with an Exhibitor's preferences, the organiser's requirements will take precedence.
PIF World may pass relevant organiser information and requirements to Exhibitors as these become available.
11. Insurance and liability
Exhibitors are responsible for maintaining appropriate insurance for their participation, including cover appropriate to their products, personnel, property and liabilities.
PIF World is not responsible for loss of or damage to exhibits, equipment or personal property except to the extent caused by PIF World's negligence or where liability cannot lawfully be excluded.
PIF World will not be responsible for indirect or consequential losses, including loss of sales, profit, opportunity or anticipated business arising from participation in, cancellation of or changes to the event.
Nothing in these Terms excludes or limits liability where it would be unlawful to do so.
12. Exhibitor information
The Exhibitor authorises PIF World to provide relevant company and contact information to Koelnmesse, the venue, stand contractors and other suppliers where this is reasonably necessary to organise and deliver its participation.
Personal information will be handled in accordance with the PIF World Privacy Policy.
13. Branding and publicity
PIF World may use the Exhibitor's company name, logo and publicly available business information for reasonable promotional purposes connected with the UK Pavilion and spoga dog 2027.
This may include inclusion on the PIF World website, exhibitor listings, pavilion signage, press releases and social media.
The Exhibitor should notify PIF World if specific brand-use restrictions apply.
14. Transfer of booking
An Exhibitor may not transfer, share, sub-let or resell its stand space to another company without prior written approval from PIF World.
15. Force majeure
Neither party will be liable for failure or delay in performing obligations where this results from circumstances outside its reasonable control.
These circumstances may include severe weather, natural disaster, epidemic or pandemic, industrial action, war, terrorism, civil disturbance, government action, transport disruption, venue closure or other events that materially affect the exhibition.
Where such circumstances affect the event, Clause 8 will apply to refunds, credits or revised arrangements.
16. General
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.
Any variation to these Terms must be agreed in writing by PIF World.
Failure by PIF World to enforce a provision on one occasion does not constitute a waiver of that provision.
17. Governing law
These Terms and any dispute arising from them will be governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction.
